1. About this policy

This Privacy Policy explains how Annuity Agency LLC ("The Annuity Agency," "we," "us," or "our") collects, uses, shares, and protects personal information. It applies to annuity-agency.com, get-started.annuity-agency.com, and any other website, landing page, form, or application we operate that links to this policy, and to the calls, emails, and text messages we exchange with you.

This policy covers information about annuity producers, agencies, and other business contacts who engage with us. Where we handle consumer information on behalf of a producer client, we act on that client's instructions, and the producer's own privacy policy governs how they use that information once it reaches them.

2. Information we collect

Information you give us

  • Identity and contact details: name, business name, email address, telephone number, and mailing address.
  • Qualification details: the states you are licensed in, years in production, annual premium written, target case size, carriers you are appointed with, current lead sources, and the other answers you provide in our application or on a call.
  • Engagement information: the notes, goals, documents, and context you share with us before, during, and after a call, and information exchanged while we deliver services to you.
  • Billing information: where you become a client, billing contact and payment details. Card and bank details are collected and stored by our payment processor, not by us.
  • Account access: where you grant us access to your advertising, calendar, CRM, or domain accounts so we can deliver the services, we hold the access credentials or permissions needed to do that work.

Information we collect automatically

  • Device and usage data: IP address, browser type and version, operating system, device type, screen size, referring page, pages viewed, links clicked, time on page, and the dates and times of your visits.
  • Cookies and similar technologies: as described in section 6.

Information from other sources

  • Advertising platforms: aggregated campaign and conversion data from Meta and Google, which tells us how you found us.
  • Form, scheduling, and enrichment tools: the answers and booking details you submit through our application and scheduling tools.
  • Publicly available sources: business information such as agency name, website, and public licensing records.

We do not intentionally collect sensitive personal information such as government identification numbers, health information, precise geolocation, or biometric data through this Site.

3. How we use your information

PurposeWhat this means in practice
Qualify and respondReview your application, decide whether we are a fit, and reply to your enquiry.
Schedule and prepareBook your call, send confirmations and reminders, and prepare for the conversation.
Deliver the servicesBuild and run your campaigns, route appointments, report on performance, and support you as a client.
Billing and recordsInvoice you, take payment, and keep accounting, tax, and contract records.
CommunicateSend service messages about your engagement, and marketing messages where you have opted in or where permitted by law.
Improve and measureUnderstand how the Site is used, measure advertising performance, and improve our pages, offers, and messaging.
Security and complianceProtect the Site and our systems, prevent fraud and abuse, enforce our terms, and meet legal and regulatory obligations.

Where the laws of the European Economic Area or the United Kingdom apply to you, we rely on the following legal bases: performance of a contract with you or steps taken at your request, our legitimate interests in operating and marketing a business-to-business service, your consent where we ask for it, and compliance with a legal obligation.

4. Call recording and notes

We may record and transcribe video and telephone calls, and generate written summaries from them, so that we have an accurate record of what was discussed, can prepare follow up, and can train and improve our team. Where a call is being recorded you will be notified at the start of the call, and you can ask us not to record, or to delete a recording afterwards, by telling us on the call or emailing us. Recordings and transcripts are treated as confidential and are handled under this policy.

5. Text messaging

If you provide a mobile number, you agree that we may contact you by text message about your enquiry, your booked call, and your engagement, including by automated means. Consent to receive marketing text messages is not a condition of purchasing any service. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for assistance.

We do not sell, rent, or share mobile telephone numbers, or the consent you give to receive text messages, with third parties or affiliates for their own marketing purposes. Mobile numbers and messaging consent are shared only with the messaging providers that deliver messages on our behalf, and only for that purpose.

6. Cookies and similar technologies

We use cookies, pixels, tags, and similar technologies to operate the Site, remember your preferences, understand how pages are used, and measure the performance of our advertising. We use Google Tag Manager to manage these tags, and Google Analytics to understand Site usage. Where we run paid advertising, we may use the Meta pixel and Google Ads conversion tags to measure which campaigns produce enquiries.

You can block or delete cookies in your browser settings, and you can opt out of many advertising cookies through your browser, your device settings, or the advertising platform's own controls. Blocking cookies may affect how parts of the Site work. Our Site does not currently respond to browser Do Not Track signals, because no common standard for them has been agreed.

7. How we share your information

We share personal information only where we need to, and only with the categories of recipient below. We do not share it with other agencies, lead vendors, or third-party marketers.

  • Service providers that run our business. These currently include hosting and content delivery (Cloudflare), analytics and tag management (Google), advertising platforms (Meta, Google), application and form tools (Typeform, Heyflow), scheduling (Calendly, Cal.com), customer relationship management (Close), email delivery (Kit), text messaging (Twilio), video calls and recording (Zoom, Fathom), and accounting and payment processing. Each is permitted to use the information only to provide its service to us.
  • Our professional advisers, such as accountants, insurers, and lawyers, where they need the information to advise us.
  • Authorities and other parties where the law requires it, including to comply with a lawful request, to enforce our agreements, or to protect the rights, property, or safety of any person.
  • A buyer or successor, if the business is merged, acquired, reorganized, or sold, in which case this policy continues to apply to the information transferred.

8. We do not sell your personal information

We do not sell personal information, and we do not share it for cross-context behavioral advertising in the sense those terms are used under the California Consumer Privacy Act as amended. We have not sold or shared personal information in that sense in the preceding twelve months. We do not knowingly sell or share the personal information of anyone under 16.

9. Your rights

Depending on where you live, you may have some or all of the following rights:

  • Know and access. Ask what personal information we hold about you, where it came from, how we use it, and who we share it with, and request a copy.
  • Correct. Ask us to fix information that is inaccurate or incomplete.
  • Delete. Ask us to delete personal information we hold about you.
  • Portability. Ask for a copy in a portable, machine readable format.
  • Opt out. Unsubscribe from marketing email, reply STOP to marketing texts, or ask us to stop marketing calls.
  • Limit or object. Ask us to restrict or object to certain processing, including processing based on our legitimate interests.
  • Withdraw consent. Where we rely on consent, withdraw it at any time, without affecting processing that already took place.
  • Non-discrimination. We will not deny you service, charge you a different price, or give you a lower quality of service because you exercised a privacy right.

How to exercise them

Email hello@annuity-agency.com, call 850-378-4130, or write to the address at the end of this policy. Tell us which right you want to exercise. We may need to verify your identity before we act, usually by confirming details we already hold. We respond within 45 days where the California Consumer Privacy Act applies, and within one month where the UK or EU General Data Protection Regulation applies, and we will tell you if we need longer. You may use an authorized agent to make a request on your behalf, with proof of their authority.

If you are in the EEA or the UK, you also have the right to complain to your local data protection authority. We would appreciate the chance to address your concern first.

10. How long we keep it

We keep personal information for as long as we need it for the purposes described in this policy. In practice that means we keep enquiry and application data for up to 24 months from your last interaction with us, client records for the life of the engagement and then for as long as our tax, accounting, and legal obligations require, typically seven years, and call recordings and transcripts for up to 24 months. We may keep information longer where we need it to establish, exercise, or defend a legal claim. When information is no longer needed, we delete it or anonymize it.

11. How we protect it

We use encryption in transit for the Site and our tools, restrict access to those who need it, use multi-factor authentication on the accounts that support it, and rely on established vendors with their own security programs for storage. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify you and any regulator as required by law.

12. Children

The Site and our services are for business use by adults. They are not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, contact us and we will delete it.

13. Third-party sites

The Site links to third-party tools, articles, and industry resources. We do not control those sites and are not responsible for their content or their privacy practices. Read the privacy policy of any site you visit from ours.

14. Where your information is handled

We operate from the United States, and our vendors store and process information in the United States and in other countries. If you access the Site from outside the United States, you understand that your information will be transferred to and processed in the United States, where data protection law may differ from the law where you live. Where required, we use appropriate safeguards for those transfers, such as the European Commission's standard contractual clauses.

15. Changes to this policy

We may update this policy from time to time. When we do, we will revise the "Last updated" date above and post the new version on this page. Where the change is material, we will take reasonable steps to tell you, such as a notice on the Site or an email.
